Privacy Policy — AsiaIntent

DRAFT — not legal advice. Have it reviewed by counsel (Japan, and ideally UK/EU/US) before launch. [BRACKETS] are filled in from the operator details in the back-office.

Version: v0.1-draft

1. Who we are

AsiaIntent is operated by Digimato, LLC, a company in Japan ("we", "us"). We are the controller of the personal data described below. Contact: support@asiaintent.com.

2. Two groups of people this policy covers

(a) Our customers and visitors — people who visit this site, make an enquiry, request materials or a call, or create an account for their company.

(b) Business contacts we approach on a customer's behalf — people at companies in the markets we cover (currently Japan, Mainland China, Taiwan, Singapore and Malaysia) whom we contact about a customer's product or service.

3. What we collect

Customers and visitors: name, business email, company, country, phone (optional), your messages, account and billing details, the content you upload (for example logos and brochures), records of what you accepted and when (IP address, browser, time), and basic technical logs needed to keep the service secure.

Business contacts: business contact details (name, job title, company, country, and a business contact point such as a telephone number, email address or contact form) from public business websites, business directories, trade events, partners and our own enquiries; and, if you respond to us, the content of what you tell us.

4. Why we use it, and on what basis

Purpose Basis
Provide the service you ordered; invoicing; support Contract
Keep the service secure; prevent fraud and abuse Legitimate interests
Introduce a customer's product to business contacts who may be interested, in a concise and proportionate way Legitimate interests (B2B outreach); we always provide a way to opt out
Pass your response to the customer only if you express interest in their offer Your response, which tells us you want the customer to contact you
Legal, tax and accounting obligations Legal obligation

We do not sell personal data, and we do not use it for advertising profiling.

5. Who we share it with

  • The customer whose product you showed interest in — only after you have expressly said you want to learn more. They receive your company, name, title, business contact details and what you told us.
  • Service providers who help us run the service (hosting, communications services, payment reconciliation, translation), under contract and only for those purposes.
  • Authorities or advisers where the law requires it.

6. International transfers

We operate from Japan. Customers are in the United States, the United Kingdom, Canada, Australia and Japan, and our business contacts are in Asia and other regions. Your data may therefore be transferred between these countries. Where required, we rely on appropriate safeguards (such as contractual terms) and, where available, adequacy decisions. Details on request.

7. How long we keep it

Account and billing records: as long as the account exists and for the period required by tax and accounting law. Business contact data: no longer than [365] days after our last contact unless you become a customer's contact at your request. If you opt out, we keep only the minimum needed (your email address, phone number or domain) so that we never contact you again.

8. Your rights and choices

  • Opt out of outreach at any time: use /optout (with your email address or phone number), tell the person who contacted you, or write to us. It takes effect immediately and applies to all customers and every way we might contact you.
  • Access, correction, deletion, restriction or objection: submit a request at /privacy/request or email support@asiaintent.com. We respond within the time the law requires (generally within one month).
  • If you are in the UK or EU you may complain to your data protection authority; in Japan, to the Personal Information Protection Commission.
  • California residents: we do not sell or share personal information for cross-context advertising.

9. Cookies

This site uses only strictly necessary cookies: a session cookie that keeps you signed in and protects forms against forgery. We do not use advertising or analytics cookies. If that changes we will ask for your consent first.

10. Security

We use encryption in transit, access controls, multi-factor authentication for staff, audit logs and encrypted storage of the most sensitive fields (such as refund bank details). No system is perfectly secure; we will notify you and the authorities of a breach where the law requires.

11. Children

The service is for businesses and is not directed at anyone under 18.

12. Changes

We will post changes here with a new version number and date. Material changes will be notified to customers.
